Saisha Infra's payment requisition system — how it works, what each role does, and how to get help. Read it once, refer to it whenever.

1What VAULT is

Saisha Infra Projects' payment requisition workflow. Every payment — from when it's first raised to when the UTR hits the bank — flows through one system.

VAULT replaces emails, WhatsApp groups, and scattered spreadsheets with one accountable lifecycle: Raise → Approve → Process → Track. Every action is logged, timestamped, and tamper-proof. Anyone in the team can find any payment, see its full journey, and know exactly where it is right now.

2Signing in

One URL. One Google login. Works on any modern browser.

The web address

Open your browser and go to:

https://vault.saishainfraprojects.in

Login

  1. Click "Sign in with Google" on the login screen.
  2. Pick your @saishainfraprojects.in Google account.
  3. First time only: watch the onboarding tour → confirm your role → tap "Enter VAULT". After that, login drops you straight into your home screen.
Heads up VAULT only accepts @saishainfraprojects.in accounts. Any other Google account (personal gmail, etc.) is rejected at the door — that's by design.

Browser & device policy

Mandatory Use Google Chrome only — on desktop / laptop. Other browsers (Safari, Firefox, Edge, etc.) are not enabled for VAULT. Mobile browsers are also not supported. This is for stability and to make sure every team member has the same, tested experience.

If you don't have Chrome, download it from google.com/chrome — takes under a minute. A native mobile app is being built; until then, VAULT is web-only.

3Your role

VAULT has 5 roles. Each sees the tabs relevant to them. Krishna decides who gets which role.

Requester

Raise payments

You create payment requests. You pick the approver. You track what happened.

Approver

Approve or reject

Requests land in your queue. Web, email, soon WhatsApp — whichever is fastest for you.

Processor

Pay out

After approval, process the payment via net banking and mark it done. Back-fill UTRs in bulk.

Admin

Full visibility

Everything above plus user/vendor management, OTP-protected destructive actions, and Admin super-view.

Management

Read-only

See every payment, dashboards, audit log — but can't act on anything. Clean oversight.

Which one are you? Open VAULT → your home screen is built specifically for your role. You'll only see the tabs and actions that apply to you. If you think your role is wrong, reach out to admin.

4Core workflows

The four things everyone does in VAULT. Each is a 60-second job once you know the flow.

Raise a payment (Requester / Admin)

  1. Go to Raise tab → click + Add Payment.
  2. Pick a vendor from the dropdown (or click + New Vendor to add one).
  3. Enter the amount. Pick the bank account if the vendor has multiple.
  4. Select a division (Trading / Logistics / Patan / Corporate etc.).
  5. Optional: flag as 🔴 Urgent if approval is time-sensitive.
  6. In the hero bar at top: pick the Approver (mandatory).
  7. Click Done → review the confirmation card → Submit.
Important — vendor accounts Vendor account numbers must be all digits, no spaces, no missing zeros. This is the one cleanup the team is doing right now. Get it right once, and VAULT handles the rest automatically — UTRs back-fill correctly, no rejected transfers.

Approve or reject (Approver / Admin)

  1. You'll get an email (soon: WhatsApp) as soon as a request lands.
  2. Open VAULT → Approve tab → see the list of pending requests.
  3. For each request: ✓ tick = approve (instantly, at original amount) · ✕ cross = reject (with a reason).
  4. Need to change the amount before approving? Click the row → opens full detail → edit amount → approve.
  5. Bulk approve: tick multiple → "Approve N →" button processes all at once.

Process a payment (Processor / Admin)

  1. Open Process tab → see the Payment Queue.
  2. Open your bank's net-banking in another tab. Make the transfer. Note the UTR.
  3. Back in VAULT: click the row → enter the UTR → pick the date processed (defaults to today) → click Mark Paid.
  4. The row animates out of the queue. Requester + approver get email confirmation. Receipt is saved to Drive automatically.
UTR can be blank for now If you're batching transfers and want to back-fill UTRs later, leave UTR empty → VAULT auto-fills PENDING-YYYYMMDD. Fill real UTRs later in one shot via Update UTR sub-tab.

Back-fill UTRs from bank CSV

  1. At end of day, download your bank's transaction CSV.
  2. In VAULT: Process → sub-tab Update UTR.
  3. Download the VAULT template → paste the CSV columns (Request ID + UTR) → Preview.
  4. Review the match — VAULT snaps each UTR to the correct request by ID.
  5. Click Update all. Progress bar runs. Done.

Track & search (everyone)

  1. Go to Track tab → see every payment, all statuses, colour-coded by state.
  2. Filter by status, division, who raised it, who approved, date range, or search free-text.
  3. Click any row → full detail popup → copy link to share.
  4. Sub-tabs inside Track: Intelligence (speed analytics), Vendors (list + search), Reports (10 one-click CSV/PDF reports).

Answers to the most common questions. Click to expand.

I got logged out. What happened?
Sessions last ~1 hour for security. Your browser will sign you back in automatically when you open VAULT next — nothing is lost.
Can I edit a payment after raising it?
Yes — while it's still Pending (approver hasn't acted). Open the payment detail → withdraw the request → raise a fresh one with the correction. Once approved or processed, only admins can make edits (with a reason logged).
What does "Urgent" do?
It's a visual flag on the payment. Approvers see a red pill on the request. It does NOT send an extra notification yet — but WhatsApp integration will bypass the 60-second batching window for urgent payments.
Can I see payments from before VAULT launched?
Only those we migrated in. VAULT's audit history starts from when your account was onboarded. Pre-VAULT records live in the old sheets — admin has those.
How do I change my email or name?
Admin can change both. Reach out to admin — takes 30 seconds. Email rename is safe and preserves your full history.
Why does VAULT ask for a division on every payment?
Division = company + department. It drives colour-coded tags, division-specific reports, and approver routing. Takes 1 tap but saves hours of analysis later.
Which browser / device should I use?
Google Chrome only, on desktop or laptop. Other browsers and all mobile browsers are not enabled for VAULT. This keeps the experience stable and predictable for the whole team. A native mobile app is being built.
What happens if I hit "approve" twice by accident?
Nothing bad. VAULT has idempotency — the second click is detected and silently ignored. No duplicate approvals, no double payouts.
Where does VAULT save receipts?
Automatically in Google Drive: VAULT Payments/{year}/{month}/{date}/ — every processed payment generates a PDF receipt and drops it there. Shared with the team by default.
Can I undo a delete?
Soft deletes (archive) → admin can unarchive in one click. Hard deletes (permanent wipe) require OTP to execute and cannot be undone. That's the design — hard delete is for cleanup only.

8Troubleshooting

The most common issues and their 30-second fixes.

"Sign in with Google" doesn't work

Make sure you're using Google Chrome on a desktop or laptop. VAULT isn't enabled on other browsers or on mobile. If you're already on Chrome, try: hard-refresh (Cmd+Shift+R / Ctrl+Shift+R), or clear cookies for vault.saishainfraprojects.in and try again.

The page looks old / features missing

Hard-refresh to pull the latest code: Cmd+Shift+R (Mac) or Ctrl+Shift+R (Windows). VAULT updates frequently — your browser may be caching an old version.

I submitted a request but the approver says they didn't get an email

Ask them to check spam. If still missing: go to Track, find the request, use Copy Link, and share it with the approver directly. Also reach out to admin so the email log can be checked.

I'm seeing "same notification twice"

Fixed in April 2026. Hard-refresh once — after that, VAULT remembers which events you've already seen across sessions.

Nothing works / I'm completely stuck

Reply to any VAULT email with a screenshot, or reach out to admin. Most issues are 2-minute fixes once we can see what's on your screen.
